Health and Safety at 4.0 Labs
At 4.0 Labs, the well-being of our students and tutors is our top priority. We are dedicated to providing a secure and healthy learning environment, whether that's in-person at our Stafford location or online.
For In-Person Tutoring Sessions
A Learning Accelerator is a structured evaluation of a student's learning habits, time management skills, organizational techniques, and overall approach to academics. It's not just about grades; it's about understanding how a student learns and how they can learn better.
Hygiene Practices
- Tutors and students are required to wash their hands thoroughly with soap and water for at least 20 seconds or use an alcohol-based hand sanitizer with at least 60% alcohol before and after each session.
- We provide hand sanitizer stations throughout our tutoring spaces.
- All tutoring areas, including tables, chairs, and frequently touched surfaces (door handles, light switches), are cleaned and disinfected with EPA-registered disinfectants before and after each tutoring session.
Social Distancing
- We arrange tutoring spaces to maximize distance between tutors and students, aiming for at least 6 feet of separation when feasible.
- We limit the number of individuals present in the tutoring area at any given time to avoid crowding.
Wellness Policy
- Students and tutors must stay home if they experience any of the following symptoms: fever (100.4°F or higher), cough, shortness of breath, fatigue, muscle or body aches, headache, new loss of taste or smell, sore throat, congestion or runny nose, nausea or vomiting, or diarrhea.
- If a student or tutor develops symptoms during a session, the session will be ended, and arrangements will be made for them to leave safely.
- We encourage everyone to practice respiratory etiquette, including covering coughs and sneezes with a tissue or elbow.
Ventilation
- Each of our tutoring locations are equipped with a HVAC system that provides adequate ventilation and air circulation. We also open windows when weather permits to increase fresh air flow.
Face Coverings
- Face coverings are optional for students, parents, and tutors during in-person sessions. Anyone who prefers to wear a mask is fully supported, and masks may be recommended in situations such as recent illness, exposure, or when requested by a family. If local health guidance changes or a specific situation requires added precautions, we will update our policy and communicate any changes promptly.
Parent Communication
- We maintain open and transparent communication with parents and guardians regarding our health and safety protocols.
- Any updates or changes to our policies, based on evolving health guidelines, will be communicated promptly via email and posted on our website.
For Virtual Tutoring Sessions
Secure Online Platform
- We utilize secure, widely trusted online platforms with strong privacy and security features (such as meeting passwords, waiting rooms, and encryption), including: Zoom, Google Meet, and Microsoft Teams
- Tutors are trained on platform security settings and best practices for online safety.
Privacy Protection
- We are committed to protecting student and family privacy and comply with all applicable data protection regulations, including FERPA. We do not record or share virtual tutoring sessions without explicit consent.
Safe Communication Practices
- All communication between tutors and students must be professional, respectful, and focused on educational purposes.
- Tutors are instructed to avoid sharing personal contact information with students and to communicate primarily through the official tutoring platform.
- We may periodically monitor virtual sessions to ensure adherence to our communication guidelines and maintain quality.
Technology Guidelines
- We provide clear guidelines for students and tutors on appropriate online behavior, including digital etiquette, responsible use of chat features, and avoiding distractions.
